SYNERGY ("we", "us", or "our") operates the SYNERGY Diagnostic tool and website at synergydiagnostic.com (the "Service"). This Privacy Policy explains how we collect, use, and protect your information when you use our Service.

When you complete the SYNERGY Diagnostic audit, we collect:
- Email address — used to send your Executive Constraint Report
- Agency information — agency name, ATS used, number of recruiters, monthly placements, average placement fee, desk type, growth stage, and time-to-fill
- Diagnostic responses — your answers to the 10-stage operational audit, including tools used, manual steps identified, time spent, frequency, and pain levels
- Primary bottleneck description — the free-text paragraph you write describing your biggest operational challenge
- Final remarks — any additional context you choose to provide
We do NOT collect: passwords, payment information (until you engage us separately), or biometric data.
2. How We Use Your Information
We use your information to:
- Generate and email your personalised Executive Constraint Report (PDF)
- Prepare an internal scoping brief so our team can review your results before a strategy session
- Contact you about booking a strategy session to discuss your results
- Improve our diagnostic tool, benchmarking accuracy, and service offerings
- Send occasional SYNERGY insights (you can unsubscribe at any time)
3. Data Sharing
We do not sell, rent, or trade your personal information. Your diagnostic data is shared only with:
- SYNERGY team members — your report and scoping brief are sent to our internal inbox for review
- Service providers — we use Gmail (Google Workspace) for email delivery and Vercel for hosting. These providers process data solely to deliver our Service.
We will never share your data with third-party marketers, recruitment industry databases, or competitor agencies.
4. Data Storage & Security
Your data is stored securely:
- Diagnostic responses are processed in your browser and transmitted via HTTPS to our serverless API
- Your PDF report is sent via encrypted email (Gmail SMTP with TLS)
- Lead data may be stored in our internal dashboard (Vercel KV / Upstash Redis) for our reference
- We do not store payment card details on our servers
5. Your Rights
Under GDPR and similar regulations, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — request correction of inaccurate data
- Erasure — request deletion of your data ("right to be forgotten")
- Opt-out — unsubscribe from marketing communications at any time
- Data portability — receive your data in a structured, machine-readable format

6. Cookies
Our website uses Google Analytics 4 (GA4) to understand how visitors use our site. GA4 uses cookies to collect anonymised usage data. You can disable cookies in your browser settings. We do not use cookies for targeted advertising.

We retain your diagnostic data for as long as necessary to provide our Service and for legitimate business purposes (including handling inquiries and improving our tool). If you request data deletion, we will remove your information within 30 days.

Our Service is intended for business professionals aged 18 and over. We do not knowingly collect data from anyone under 18.
